Booking Agreement
Terms & Conditions
Last updated: July 2026
1. Introduction
These Terms & Conditions govern all tour packages, travel services, and related arrangements booked through Global Travel Agency ("Global Travel", "we", "our", or "us").
By making a booking and paying the required deposit or any portion of the tour price, the lead traveler confirms that they have read, understood, and accepted these Terms & Conditions on behalf of themselves and all travelers included in the booking.
The lead traveler is responsible for ensuring that all travelers on the reservation are aware of and agree to these Terms & Conditions.
Global Travel Agency reserves the right to update or modify these Terms & Conditions at any time prior to booking confirmation. The version available on our website at the time of booking shall apply.
2. Booking & Confirmation
A booking is considered confirmed only after:
- the required deposit (or full payment, where applicable) has been received;
- availability has been confirmed;
- an official Booking Confirmation has been issued by Global Travel Agency.
All quotations remain subject to availability until booking confirmation is issued.
The traveler is responsible for ensuring that all names, travel dates, passport details, and other booking information provided are accurate and complete. Any errors or omissions may result in additional costs or supplier penalties.
3. Pricing & Payment
All prices are quoted in Canadian Dollars (CAD) unless otherwise stated.
Tour prices are based on the itinerary, inclusions, accommodation standard, exchange rates, and supplier costs available at the time of quotation.
Unless otherwise specified:
- A non-refundable deposit is required to secure all bookings. Unless otherwise stated in your quotation or invoice, the standard deposit for Global Travel group tours is CAD $450 per traveler.
- Full payment must be received by the payment deadline shown on the invoice or booking confirmation.
- Bookings made within 90 days of departure may require full payment at the time of booking.
Failure to make payment by the due date may result in cancellation of the reservation and applicable cancellation penalties.
Prices shown do not include:
- personal expenses;
- gratuities;
- beverages unless specified;
- passport fees;
- travel insurance;
- visa fees unless specifically included;
- optional activities;
- any items not listed as included in the quotation or tour brochure.
Payments made by credit card may be subject to a merchant processing fee where applicable. Any applicable fee will be shown separately on the invoice or payment request.
In the event of an obvious pricing error caused by system or human error, Global Travel Agency reserves the right to correct the pricing before booking confirmation.
4. Flights
Unless otherwise stated in your quotation or Booking Confirmation, international airfare is not included in Global Travel's land tour packages. Airfare may be arranged by Global Travel Agency upon request and will be quoted separately based on the traveler's departure city, preferred travel dates, routing, airline availability, and fare conditions at the time of booking.
Airfare quotations are subject to availability and are not guaranteed until full payment has been received and airline tickets have been issued. Airline fares, taxes, fuel surcharges, and airport fees may change without prior notice before ticket issuance.
Flight schedules, operating airlines, aircraft types, routes, and connection times are determined by the airline and may change at any time due to operational requirements. Global Travel Agency will make every reasonable effort to assist travelers in the event of airline schedule changes but cannot be held responsible for changes made by the airline.
Seat assignments are subject to the policies and operational decisions of the operating airline. Advance seat selection may not be available on all fare types, and additional charges may apply. Airlines reserve the right to modify seat assignments at any time without prior notice.
Travelers are welcome to arrange their own international flights. In such cases, they are responsible for ensuring that their flight schedule is compatible with the tour itinerary and for providing their arrival and departure details to Global Travel Agency in advance for transfer arrangements.
Baggage
Baggage allowances are determined by the operating airline and may vary depending on the airline, route, and fare purchased. Travelers are responsible for complying with the baggage policies applicable to each flight, including any excess baggage charges.
For most Global Travel tours that include domestic flights within the destination, we recommend traveling with one checked bag not exceeding 20 kg (44 lbs) and one carry-on bag not exceeding 7 kg (15 lbs) per traveler. Traveling within these recommended limits helps ensure smoother transfers between destinations, particularly on domestic flights, and may help minimize additional baggage charges and handling delays.
Travelers are encouraged to verify the latest baggage allowances directly with the operating airline prior to departure, as airline policies may change without prior notice.
5. Travel Documents
- Travelers are responsible for obtaining and carrying all required travel documents.
- Passports must remain valid for at least six (6) months beyond the scheduled departure from the destination country unless a different requirement applies to the destination visited.
- Travelers are responsible for complying with all immigration, customs, health, and entry requirements of each destination.
- Failure to obtain the required documentation does not constitute grounds for refund.
6. Vietnam E-Visa
Where stated as included in the tour package, Global Travel Agency will provide Vietnam e-visa application support at no additional service fee.
Traveler information and supporting documents will normally be collected approximately 90 days prior to departure.
Visa approval remains entirely at the discretion of the relevant government authorities.
Global Travel Agency cannot guarantee visa approval and accepts no responsibility for delays or refusals beyond our control.
7. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travelers.
We recommend purchasing coverage that includes:
- trip cancellation;
- trip interruption;
- medical emergencies;
- emergency evacuation;
- baggage loss or delay.
Travelers choosing not to purchase travel insurance acknowledge that they assume all financial risks associated with cancellations, interruptions, medical emergencies, and other unforeseen events.
8. Group Departures
Some group departures are operated subject to a minimum number of participants.
If the required minimum group size is not reached, Global Travel Agency reserves the right to cancel, postpone, or reschedule the departure.
Should this occur, travelers will be notified as early as reasonably possible and may choose one of the following options, subject to availability:
- Transfer to another available group departure;
- Apply the amount paid toward another tour offered by Global Travel Agency;
- Upgrade to a private tour at the applicable private tour rate; or
- Receive a full refund of all land tour payments made to Global Travel Agency.
Where airfare, travel insurance, visas, or other optional travel services have been arranged through Global Travel Agency, we will make every reasonable effort to assist travelers in modifying, transferring, or cancelling those services.
Any applicable refunds, fare differences, cancellation fees, insurance premiums, or supplier penalties remain subject to the terms and conditions of the respective airline, insurance provider, hotel, cruise line, local operator, or other travel service provider.
Global Travel Agency shall not be responsible for any costs, losses, or penalties relating to independent travel arrangements or services that were not booked through us.
9. Private Tours
- Private tours are operated exclusively for the travelers listed on the Booking Confirmation and are not subject to minimum group size requirements.
- Private tour pricing is based on the confirmed number of travelers, travel dates, accommodations, transportation, and services included in the quotation.
- Any changes to the number of travelers, travel dates, itinerary, accommodations, or included services after booking confirmation may result in a revised quotation and additional supplier charges.
- If one or more travelers cancel from a private tour booking, the remaining travelers will be responsible for any increase in the per-person tour price resulting from changes to occupancy, transportation, accommodations, or other shared services.
10. Itinerary Changes
- The itinerary published in the tour brochure or Booking Confirmation represents the planned travel program.
- Occasionally, changes may become necessary due to operational requirements, weather conditions, transportation schedules, government regulations, supplier availability, or other circumstances beyond our reasonable control.
- Where possible, substitute services of comparable standard and value will be provided while maintaining the overall quality and experience of the tour.
11. Cancellation Policy
- All cancellation requests must be submitted in writing to Global Travel Agency.
- Cancellation penalties are calculated based on the date the written cancellation request is received.
- Cancellation charges are calculated based on the total tour price unless otherwise specified.
| Cancellation Period | Cancellation Charge |
|---|---|
| 90+ days before departure | Loss of non-refundable deposit |
| 89–61 days before departure | 45% of total package price |
| 60–45 days before departure | 60% of total package price |
| 44–31 days before departure | 85% of total package price |
| 30 days or less before departure / No Show | 100% of total package price |
Additional airline, cruise, hotel, insurance, visa, or other supplier penalties may also apply where applicable.
12. Changes Requested by the Traveler
- Requests to change travel dates, names, accommodations, flights, or other confirmed services after booking confirmation are subject to availability and supplier approval.
- Additional charges, fare differences, amendment fees, or supplier penalties may apply.
- Some services, including promotional fares, airline tickets, or special offers, may be completely non-changeable or non-refundable.
13. Travel Services, Suppliers & Responsibility
Global Travel Agency carefully selects reputable hotels, cruise operators, transportation providers, local guides, destination management companies, and other travel suppliers to deliver your travel experience.
Many of the services included in your itinerary are provided by independent third-party suppliers that are not owned or controlled by Global Travel Agency. While we make every reasonable effort to select reliable suppliers and ensure the quality of the services provided, Global Travel Agency is not responsible for the acts, omissions, negligence, delays, service interruptions, or operational decisions of independent suppliers that are beyond our reasonable control.
Accommodation
Hotel descriptions, photographs, room layouts, amenities, and facilities are provided for general guidance only and may change without prior notice by the accommodation provider. While Global Travel Agency will make every reasonable effort to provide the confirmed accommodation or a comparable alternative, specific room locations, views, bedding configurations, or hotel facilities cannot be guaranteed.
Transportation & Local Services
Ground transportation, cruise schedules, sightseeing arrangements, attractions, and other local services may be modified due to operational requirements, weather conditions, government regulations, safety considerations, or circumstances beyond the reasonable control of Global Travel Agency or its suppliers. Where possible, comparable alternatives will be provided.
Global Travel Agency is not liable for delays, interruptions, cancellations, or changes resulting from the actions of independent suppliers or circumstances beyond our reasonable control. However, we will make every reasonable effort to assist travelers in resolving issues and minimizing disruptions whenever reasonably possible.
14. Force Majeure
In the event of unforeseen circumstances, the standard cancellation policy outlined above will continue to apply.
For extraordinary events beyond the traveler's reasonable control—including but not limited to major natural disasters, government travel restrictions, severe political unrest, pandemics, or other force majeure events—Global Travel Agency will review each situation individually in consultation with our local partners and suppliers.
Where reasonably possible and subject to supplier policies, we will make every effort to assist affected travelers through one or more of the following options:
- travel credits;
- travel date changes or postponements;
- partial refunds where recoveries are available from suppliers;
- rebooking assistance to help minimize losses.
For personal unforeseen circumstances, including illness, family emergencies, or other personal events, travelers are strongly encouraged to purchase comprehensive travel insurance with cancellation and interruption coverage.
Final resolutions remain subject to the policies and decisions of airlines, hotels, cruise operators, local suppliers, insurance providers, and other third-party service providers.
15. Privacy & Photography
Global Travel Agency collects and uses personal information only for the purpose of arranging and managing your travel services, including bookings with airlines, hotels, local operators, insurance providers, visa processing services, and other travel-related suppliers where necessary.
We are committed to protecting your personal information and handling it in accordance with applicable privacy laws.
During the tour, photographs and videos may be taken by Global Travel Agency, our tour leaders, guides, or authorized representatives for promotional, marketing, website, social media, training, and other business-related purposes.
Travelers who do not wish their identifiable image to be used for promotional purposes may notify Global Travel Agency in writing before or during the tour. We will make every reasonable effort to respect such requests.
Global Travel Agency will not intentionally identify travelers by full name or disclose personal information in connection with promotional materials without prior consent.
16. Customer Feedback & Claims
If any issue arises during your trip, travelers should notify the tour leader, local guide, hotel, or Global Travel Agency as soon as reasonably possible so that every reasonable effort can be made to resolve the matter during the tour.
If a matter cannot be resolved during the trip, any request for compensation, refund, or formal complaint should be submitted to Global Travel Agency in writing within 30 days of the tour completion date, together with any relevant supporting documentation.
Global Travel Agency will review all claims fairly and in good faith. Refunds or compensation, where applicable, will be subject to the terms of this Agreement and the policies of the relevant travel suppliers.
17. Acceptance of Terms
Payment of the required deposit or any portion of the tour price constitutes acceptance of these Terms & Conditions by the lead traveler and all travelers included in the booking.
